What do you need for an event-branding quote?
Prepare a clear event-branding quote request: products, quantities, pitch size, artwork, delivery location and the date you need your order.

Start with a product list, not just a budget
To request an event-branding quote, send the products you need, their quantities, the space you have, your artwork requirements, delivery location and required date. If you are unsure which products to choose, explain what you will do at the event: sell from a counter, demonstrate a product or meet visitors. For example, a gazebo with one rear wall and two flags is a clearer starting point than “a complete outdoor setup”. You can still ask for alternatives; separating essentials from optional extras makes those alternatives easier to compare.
Specify the configuration for each item
Write one line per product and state how many identical items you need. For a printed gazebo, include the selected size and which walls you want. For flags, include the shape, size, print option and proposed base. For a tablecloth, provide the table dimensions and the style you are considering. Where the catalogue offers several configurations, use the product name and selected options from Studio. Two quotes with the same headline product can cover different components, so avoid assuming that everything in a styled picture is included.
Explain the space and surface
Give the usable pitch width and depth, whether the event is indoors or outdoors, and the surface on which the display will stand. Mention any restrictions supplied by the organiser, including height or access limits. A photograph is useful context, but it does not replace measurements. If you already own furniture or display hardware, identify it and provide dimensions where relevant. Ask whether new components are compatible rather than assuming that similar-looking products fit together.
Say whether the artwork is ready or needs designing
Tell us whether you have finished artwork, a logo and an idea, or need help developing the layout. Include the original logo files you have and the exact wording you want printed. Explain whether every item uses the same branding or whether individual walls, flags or panels need different messages. If there are several branches or sponsors, list the versions and quantities separately. This helps distinguish one repeated design from several different artwork jobs without guessing what you intended.
Separate the event date from the delivery requirement
State the event date and the date by which you need the products in hand. Include the delivery postcode and explain whether the destination is your premises or an event venue. If you are comparing options before booking an event, say so. Treat your requested date as a requirement to discuss, not a confirmed delivery promise. Ask for the current timetable for your actual configuration and artwork status before making plans around it.
Use this short enquiry checklist
Your message can follow this order: event and purpose; pitch dimensions and surface; product names and selected sizes; quantity of each; walls, bases or other extras; number of artwork versions; files available and design help needed; delivery postcode; required delivery date. Add a budget range if you have one and identify which items are optional. For example: “We are planning an outdoor market pitch and need one printed gazebo with a rear wall, plus two flags. We have our logo but need layout help. Here are our pitch measurements, postcode and required date. Please help us compare suitable configurations.”
Check the scope before comparing totals
When reviewing a quote, check the exact sizes, quantities, print options, included hardware and accessories. Look for the stated VAT and delivery treatment, artwork arrangements and any unresolved questions. Where a product does not yet have a confirmed price, request a configuration-specific enquiry rather than estimating from a different product. Keeping the same requirements across your comparisons helps you understand whether a lower total reflects a different setup.
