Begin with the pitch and your selling process

Write down the booked width and depth, which sides are open and where customers will queue. Then list what must happen during a sale: browsing, choosing, paying and collecting. Position the table, stock and team around that sequence. A clear route through those steps is more useful than adding another sign to an already crowded stall.

Give each branded product a purpose

Use the gazebo to identify the business and define the space. A flag can help people notice the stall from an approach, while a tablecloth brings branding to the point where conversations happen. You do not need the same paragraph printed on all three. Repeat the brand identity, but let the canopy carry recognition and the closer surfaces carry supporting detail.

Keep entrances and sightlines clear

Look at the stall from a visitor’s height. Tall stock, a flag or a hanging sign can hide a key message or make the entrance feel closed. Allow room for the flag bases and any other equipment outside the table footprint. Check the organiser’s requirements for anchoring and walkways before deciding where everything will stand.

Prepare a packing list by task

Separate the list into structure and supports, branded graphics, selling equipment and personal supplies. Include the correct bags, compatible bases, payment equipment, price labels and contact details. Count the components against the actual configuration rather than a generic checklist. If there is more than one person setting up, agree who checks the structure and who arranges the display.

Rehearse the whole setup

Lay out the stall before the event if you can. Take a photograph from the customer’s approach and check what you notice first.
